Data Retention & Deletion Notice
FairFiles Hub retains information only as long as reasonably necessary, deletes eligible user-controlled content generally within 60 days of a verified request, and documents the exceptions that may require longer retention.
1. Scope of This Notice
This Data Retention & Deletion Notice explains how FairFiles Hub retains and deletes the categories of information described in the Privacy Policy. It supplements, and does not replace, the Privacy Policy.
FairFiles Hub is a consumer education and self-help technology platform owned and operated by Credit Score Defenders LLC in New York. It provides consumer education, local evidence-organization tools, and document-preparation assistance. FairFiles Hub is not a law firm and does not provide legal representation. Legal notices may be sent to legal@fairfilehub.com.
2. General Retention Approach
Following verification and processing of an account-deletion request, FairFiles Hub generally schedules eligible user-controlled content for deletion within 60 days. Certain records may be retained longer when reasonably necessary to comply with applicable law, resolve disputes, prevent fraud or abuse, enforce agreements, maintain security, complete requested transactions, honor legal holds, preserve required consent or audit records, or protect the rights and safety of users and others. Hosting, authentication, email, and infrastructure providers may retain residual or security copies under their documented schedules and legal obligations; this application source cannot certify or override those schedules.
We retain information only as long as reasonably necessary for the purposes described in the Privacy Policy, to comply with legal obligations, to resolve disputes, to enforce agreements, and to protect the rights and safety of users and others.
3. Retention Categories
The table below distinguishes the 60-day target for eligible account data from records controlled by legal, security, transaction, support, or provider-backup requirements. A fixed period is not promised where the correct period depends on those requirements.
Category Basis for retention Period or controlling rule Active Account Records Retained while the account remains active and as needed to provide requested services. Account life; eligible data generally scheduled within 60 days after a verified deletion request Local Vault and Completed Documents Stored on user-selected storage and not retained by the active FairFiles Hub case tools. Controlled and deleted by the user Optional Member Follow-Up Records First name, last name, verified account email, and consent-management fields retained only for separately authorized educational follow-up. Scheduled for deletion 60 days after consent is recorded; withdrawal closes permission immediately and schedules deletion within 60 days Required Consent and Policy-Acceptance Records Retained only as reasonably necessary to document required policy acceptance and compliance. No fixed period; legal and evidentiary need controls Security and Access Logs Hosting and authentication providers may retain logs to detect abuse, investigate incidents, and protect accounts. Provider schedule and documented security need Audit Records Authoritative compliance records are protected from ordinary user alteration. No fixed period; compliance and legal need controls Billing and Transaction Records Retained only if applicable for accounting, tax, chargeback, fraud-prevention, and legal obligations. Applicable legal and transaction-record requirements Support and Deletion Requests Retained as reasonably necessary to investigate, respond, verify completion, and protect against abuse. No fixed period; support, security, and legal need controls Legal Holds Excluded from ordinary deletion only while a valid hold applies. Until the hold is released Provider Residual or Security Copies May be retained by hosting, authentication, email, or infrastructure providers under their documented practices and legal obligations. Provider-controlled schedule; requires live configuration and contract verification 4. Requesting Deletion
You may request deletion of your account and user-controlled content from account settings. After you verify and submit a deletion request, eligible user-controlled content is generally scheduled for deletion within 60 days, subject to the documented exceptions in the general retention approach above.
Requesting deletion does not affect records we must retain for legal, security, fraud, dispute, audit, legal-hold, or transaction purposes. Account information is retained only as necessary to verify and process the request and to document compliance.
5. Data Export
Local vaults, downloaded forms, calculator files, and completed letters already remain under the member’s control. For a copy of eligible server-held account information before deletion, contact privacy@fairfilehub.com. Security, fraud-prevention, privileged, internal, or legally restricted records may not be exportable.
6. Backups
Deletion applies to eligible active records controlled through the application. Hosting, authentication, email, and infrastructure providers may retain residual or security copies under their own documented schedules and legal obligations. This source package cannot verify, shorten, or override those provider cycles; live retention settings and deletion behavior must be confirmed with each responsible provider.
7. Legal Holds
Records subject to a legal hold are excluded from ordinary deletion until the hold is released by an authorized administrator. Holds are applied only where legally necessary or reasonably required to protect rights, safety, or investigate fraud.
